Christ Chapel seeks to hire an Administrative Assistant / Digital Coordinator to serve the church for 20 hours per week. The ideal candidate will have exceptional people skills and 2-5 years experience working in a ministry setting. This person will handle the administrative tasks of church life with ease, possess extensive experience in multiple forms of digital communications, hold experience leading projects and/or project teams, and enjoy serving the pastor and church leaders as needed. Knowing that the scope of this position is robust, there may be some responsibilities that are phased in over time and/or as time allows.
Key Responsibilities
- Administrative Lead
- Serves as the hub of all telephonic or mail communications coming into the church office (via phone, email, or mail) and directs messages and/or requests as appropriate while maintaining the utmost confidentiality.
- Sorts mail and assists with coding bills/reimbursements to budget for the treasurer.
- Serves as lead in designing and maintaining the phone voicemail system so that messages can be received remotely and in a timely manner.
- Attends all church leadership and quarterly meetings and generates minutes for those meetings.
- Generates minutes, collates reports and prepares packets for all Leadership and Quarterly Meetings.
- Coordinates the ordering of supplies and books needed for things such as worship services, hospitality, groups, and other church needs.
- Prints monthly calendar of activities and birthdays.
- Maintains church attendee/member lists and prints church directories as needed.
- Hub of Digital Communication
- Serves as the hub of all digital communications for the church, using email and Constant Contact regularly.
- Serves as the digital lead on promotional communication, using programs such as Constant Contact regularly.
- Serves as digital lead for the online Google Calendar and makes regular updates so that all print and online calendars are continuously in sync.
- Digital Promotional Coordinator
- Updates the church website regularly using Squarespace, ensuring that all church activities are up-to-date and presented in a compelling manner.
- Interacts with web analytic data and meta word data so that the church website’s reach is optimized.
- Edits sermon videos and church event videos with FinalCut Pro and Descript and uploads them to the appropriate program for maximum exposure and influence.
- Serves as lead in Graphic Design for digital images using programs such as Photoshop or Photopea.
- Marketing Coordinator
- Serves as lead in Graphic Design for digital images using programs such as Photoshop or Photopea.
- Serves as lead for designing and printing signs for ministry events and other needs throughout the church.
- Serves as lead for designing and printing promotional flyers and cards to distribute throughout the community.
- Liason with Mail Marketing vendor to send 2-5 targeted mailings per year.
- Digital Assistance with Worship Services
- Prepares digital slides for announcements in worship services using Photoshop or Photopea and Power Point or Keystone.
- Prepares music slides for worship services using ProPresenter or EasyWorship.
- Pastoral and Church Leadership Support
• Provides support to the pastor, ministry staff, committee heads and church leaders as needed.
Candidate Requirements
- 1-2 years of experience working in a church administrative role.
- 3-5 years of experience with Microsoft Office and Google Suite including Google Calendar .
- 3-5 years of experience using Adobe Photoshop (or similar photo editing programs).
- 2-4 years of experience with Constant Contact (or similar web marketing sites).
- 2-4 years of experience designing and editing websites hosted by programs and/or websites like Squarespace.
- 1-2 years of experience using FinalCut Pro (or similar video editing programs).
- 1-2 years of experience using ProPresenter or EasyWorship (or similar worship display software).
- Experience technologies related to web development analytics, targeted web tags, and leading mass mailing campaigns.
- Extensive and proven experience in “social evangelism,” with the ability to lead campaigns in Facebook, Instagram, Snapchat, and TikTok.
- Ability to attend quarterly church meetings and leadership meetings.
