1. Preparation and production of weekly bulletin, monthly newsletter, and other communications

  • The position will work closely with the elders and ministry leads, especially the Marketing and Communications lead to fulfill these responsibilities.
  • Additionally, the Church Office Administrator is the point of contact for all ministry leads to support in communicating to the church as needed.

2. Management of the Church Office and Records Management of the Church office includes:

  • Oversee setup of sanctuary in preparation for Sunday services and other events (seating, lighting, lock-up etc.).
  • Procuring, maintaining inventory and overseeing storage of building and office supplies.
  • Maintaining office equipment and arranging for repairs as needed.
  • Receipt and distribution of physical and electronic mail.
  • Working with the Tech team to Keep the church website current, including community
    events, volunteer opportunities, Church Calendar, announcements and other ad hoc
  • Maintaining files, databases and membership records.
  • Overseeing volunteer management including requests, scheduling, recruiting and
    training, according to need and gifting. Solicit feedback for improvement.
  • Assisting outside vendors and helping coordinate the scheduling and performance of
    maintenance and repairs.

3. Serving as in-person, online and telephone receptionist
The Church Office Administrator is often the first person that members and guests will come into contact with at GracePoint. The Church Administrator will:

  • Greet people warmly and provide assistance by answering questions and directing them as needed.
  • Pass along messages to the appropriate individuals when needed.

4. Provide administrative support for Pastor, Staff, Elders and Ministry Leaders

  • Preparation of materials for meetings, photocopying, scheduling of meetings, keeping minutes when needed and following up on agreed action items.
  • Research and information gathering.
  • Maintenance of the Church Calendar and building use calendar.
  • Track and report on relevant statistics to the ministry leads (e.g., volunteer
    routines/cancelations, # of kids in KidsTown).
  • Inventory church property and manage use.

5. Lead GracePoint’s Kid’s Ministry
As the KidsTown Director at GracePoint, you are responsible for a ministry whose intent is to introduce, instruct and nurture children in their Christian faith through Bible study, prayer, fellowship, service, and evangelism. In this role, you will:

  • Develop a strategic plan and curriculum that supports GracePoint’s mission and vision.
  • Recruit, train, and supervise teachers, leaders, and other required volunteers to support
    a weekly KidsTown program.
  • Personally communicate KidsTown news and ministry updates to the congregation.
  • Participate in the preparation and development of the budget for KidsTown.
  • Communicate all activities through the weekly GracePoint newsletter, social media, and
    other mediums as needed.
  • Proactively make sure that children are considered/integrated within all of church life.
  • Attend GracePoint’s weekend worship services.
  • Disciple and develop the next generation of KidsTown leaders.


  • Ability to deal effectively and tactfully with a wide variety of individuals – in person, over the phone and in writing.
  • Warm, enthusiastic and welcoming to everyone, as expected in a Christian environment.
  • Ability to work well with others – staff, congregation, guests and volunteers.
  • Demonstrated high level of proficiency in MS Office (Word, Excel, and PowerPoint).
  • Ability to learn the operation of the various Church database software (Church Office
    Online, Planning Center).
  • Excellent organizational skills and attention to details. Ability to manage processes.
  • Versatility, flexibility and a willingness to adapt to changing priorities.
  • Excellent written communication and presentation skills.
  • Commitment to excellence and high standards.

General Requirements

  • Demonstrated lifestyle consistent with biblical standards for Christian behavior.
  • Minimum 5 years of experience in responsible administrative capacity.
  • Criminal background check required.
