Vision for this role 

The Church Administrator position serves as the central hub into and out of which
flow all aspects of the inner operations of the life of the church so that all its parts are
able to function well.

The Church Administrator is often the first point of contact and intermediary for
those inside and outside the church and has the opportunity to bless many with love
and attentiveness toward our neighbors, newcomers, members, leadership, and
partners alike.

With servant-like humility and care for excellence, the highly organized,
knowledgeable Church Administrator patiently contributes to a culture of
work-done-well and gracious care for all on the team co-laboring for the kingdom.
He/she sees how things in the church function together from his/her panoramic
vantage point and is uniquely positioned to notice needs, fill gaps and offer creative
solutions to improve the life of our Staff, leaders and church as a whole.

Roles & responsibilities


  • Prepare for Sunday services
  • Prepare digital bulletin
  • Secure servants for Scripture Reading and any other element that is not done by a staff member
  • Coordinate with relevant staff members to secure appropriate bulletin content
  • Act as final editor for all content
  • Manage bulletin archives in G Suite
  • Count Sunday attendance or coordinate counting with welcome team


  • Act as central hub of all internal and external Citylife communications
  • Support Staff in their communications-related ministry needs
  • Basic website, social media and database management
  • Publish weekly church-wide newsletter
  • Manage digital mailbox
  • Manage Google Voice account


  • Act as point of contact with bookkeeper
  • Process weekly offering
  • Provide support to Treasurer to maintain and update financial records
  • Prepare AP requests for approval
  • Perform monthly credit card reconciliation

HR Support

  • Act as point of contact with HR/payroll provider
  • With support from HR Committee, assist in onboarding new employees
  • Assist HR needs of employees

Other Operational Support

  • With support from pastors, assist in membership process
  • Maintain records in church management system
  • Assist with scheduling/coordinating classes, interviews, installations, baptisms
  • Church-wide event support
  • Maintain church directory in church management system
  • Act as point of contact for all facilities
  • Take Staff meeting minutes
  • Support Staff and Session with administrative needs


  • Weekly staff meetings (Tuesday and Thursday)
  • Weekly check-ins with the Executive Pastor

  • Love for the church and its leaders
  • Team player, collaborative, flexible
  • Highly organized and detail-oriented
  • Excellent written and verbal communication skills
  • Ability to prioritize and juggle multiple tasks, while meeting deadlines
  • Prepared to take increasing levels of responsibility and show initiative to
    troubleshoot and respond to needs
  • Proficiency with social media, database and website management, G Suite, all
    office applications (Word, Excel, PPT, PDF)
  • Agreement with the Mission, Vision, and Core Values of Citylife
  • Experience with communications, HR or visual design, a plus
  • Citylife attendee preferred, but not required
